How can simultaneous interpretation improve your conferences

The complete guide to conference interpreting

In today’s globally connected world, interpretation services contribute immensely to the success of both national and international events or conferences. At All Languages, we know how conference interpreting works to deliver effective communication across language barriers. This article offers a helpful guide to conference interpreting, exploring its different forms, the key aspects of quality assurance, and the cultural and technological shifts that have shaped this field of communications.

1. Why is conference interpreting important during events?

Events where participants speak multiple languages require skilled interpreters to get desired engagement, connection and learning. Conference interpreting helps to create a focused and productive environment; our interpreters bridge the gap for exchanging ideas and understanding different perspectives. At All Languages, we recognize that effective communication is key to the success of any project that involves language, and do our part to ensure events run smoothly.

2. What is conference interpreting and how does it work?

Conference interpreting itself may be either consecutive or simultaneous in mode, but involves the interpreter working in “one direction” of language transfer only, usually from one language into their first or preferred language. All Languages’ expert interpreters make it possible for people who speak different languages to communicate successfully during live meetings, conferences and other multilingual events. Their role requires accurately and smoothly conveying information to ensure conversations flow and communication remains effective.

3. What are the three main types of interpretation required at conferences?

1. Simultaneous interpreting is the nearly instantaneous delivery of the speaker’s message from the source language into the target language, in real-time. It is most cognitively demanding, and requires interpreters of the highest caliber. This method is typically used in large conferences and is proficiently handled by All Languages’ expert interpreters and technical support teams.

2. Whisper interpreting is a more discreet form of simultaneous interpreting that takes place when the interpreter is seated next to one or more persons, and whispers in the target language the content of the speech. Also called “chuchotage”.

3. Consecutive interpreting in a conference setting, on the other hand, is often referred to as “long” or “classic” consecutive interpreting.  This is when the interpreter listens to the totality of the speaker’s comments (or a significant passage) and then reconstitutes the speech with the help of notes taken while listening.

4. How are conference interpreters selected?

At All Languages, we are committed to working with top-notch interpreters. In addition to being trained according to industry standards, our interpreters are typically native speakers of the target language and have at least two of the following credentials/experience:

  • Master of Conferencing Interpreting (MCI)
  • University degree or equivalent
  • International Association of Conference Interpreters-certified (AIIC) – this is the highest level of certification for interpreters
  • Certified by the ATIO / OTTIAQ / or other CTTIC-affiliated provincial order
  • Certified by the Translation Bureau
  • Ministry of Attorney General (MAG) Accredited / Certified
  • 2-3 years’ experience in the field.

5. What reference material do conference interpreters need in advance?

Good preparation is key to a successful interpreting assignment. We always encourage our clients to share relevant reference materials ahead of time. These include agendas, presentations, plus translations and glossaries so our interpreters can review them thoroughly. Our staff at All Languages conducts extensive research to understand the subject matter and anticipate any potential challenges.

6. How do I determine the right number of interpreters for my conference?

The number of interpreters required for your conference largely depends on the duration of the event and the number of simultaneous sessions or breakout rooms. Interpreters typically work in pairs, rotating every 20 to 30 minutes to maintain high levels and accuracy. Two interpreters per language pair are standard for a single session lasting up to four hours; longer sessions typically require three or more. However, if your conference includes multiple concurrent sessions, you’ll need additional interpreters to cover each room. At All Languages, we help you assess your specific needs and ensure that the right number of interpreters is available to provide seamless communication throughout your event.

7. Why is sound quality crucial for effective conference interpreting?

Whether on-site or remote, sound quality plays a critical role in the success of conference interpreting. High-quality audio ensures that interpreters can hear the speaker clearly, without any distortions or delays, which is essential for accurate interpretation. Latency and the ability to isolate the desired language at a higher volume than the original speaker are also crucial factors. At All Languages, we use state-of-the-art equipment and collaborate with professional AV teams to guarantee crystal-clear sound and reliable interpretation. This attention to detail helps make communication seamless and effortless for all participants, ensuring that your event runs smoothly and effectively.

8. How can technical AV support enhance the success of your conference?

Whether services are needed on-site or remotely, professional technical AV support can significantly enhance the success of your conference. This includes everything from providing essential equipment like interpreter booths and participant headphones to offering technical assistance on video remote platforms that integrate smoothly with interpretation services. AV professionals ensure that all technological aspects of your event are handled seamlessly, allowing you to focus on the content and engagement of your attendees.

9. How has technology transformed conference interpreting?

At All Languages, we harness continually advancing technologies to revolutionize conference interpreting and facilitate multilingual communications. Our cutting-edge remote interpreting systems enable seamless interpretation over distance, significantly reducing interpretation costs while improving interpreter selection of expertise to match meeting topics of discussion.  AI-based tools can also be leveraged to provide live subtitles and translations thereof. Our solutions are flexible and scalable, designed specifically to make your meetings a success.

10. What role does AI play in the future of conference interpreting?

Artificial intelligence (AI) is poised to change the world of conference interpreting forever, at least insofar as improving audience engagement. It already offers real-time automated language subtitles translation, transcription and meeting minutes/summarization services.  It helps interpreters in real-time, as well as reducing the reliance on human interpreters in limited settings. While AI is a gamechanger, it is not a replacement for the human touch. Human interpreters remain indispensable for nuanced interpretation of spoken messages, and quality communications. At All Languages, we embrace AI as a useful tool that enhances our expertise and elevates the quality of our services.
